Referrals List Window

The Referrals List window allows you to search for and manage the list of referrals used at your institution.

Field Description
Criteria

A text field that is used to enter your search criteria.

Tip: You can enter the first few characters of the word, or enter an underscore (_) to return all results.

Source

A drop-down list that indicates the referral sources to include:

  • From: Referrals that are sent to your institution, but your institution does not refer to them.
  • To: Referrals that your institution sends to, but does not receive referrals from.
  • Both: Referrals that are sent to your institution as well as being sent by your institution.
  • All: Include all referrals.
Search On

A drop-down list that indicates the field to search on:

  • Type
  • Name
  • Address
  • City
  • State / Province
  • Telephone
Show Deleted A check box that, when selected, indicates that deleted referrals will be included in the search results.
Task Procedure
Search for Referrals
  1. Use the Criteria field and the Source and Search On drop-down lists to set the search parameters.
  2. Click the Search For Data () icon and review the results.

    3. Note: If your search has more than 100 results, a prompt displays. Click Yes to continue your search or click No to stop and change your criteria to narrow the results list.

Add Referrals
  1. Click the Create a new Record () icon to display the Referrals window.
  2. Complete the fields as necessary and click OK.
Edit Referrals
  1. Search for and select a listed entry.
  2. Click the Edit Record () icon to display the Referrals window.
  3. Make any necessary changes and click OK.

    4. Tip: You can also double-click a listed entry to display the Referrals window.

Delete Referrals
  1. Search for and select a listed entry.
  2. Click the Delete Record () icon.
  3. When prompted, click Yes to confirm the deletion.
Preview/Print Report
  1. (Optional) To preview the Referrals report, click the Preview Report () icon.
  2. To print the Referrals report, click the Print Report () icon.

    3. Note: The Referrals report uses the referral.rpt file.

Show History
  1. Search for and select a listed entry.
  2. Click the Show History () icon to display the Referral History window and review the history of the referral record.

Referrals Window

(Maintenance > Patient > Referrals List)

The Referrals window allows you to enter information about a referral. It displays when you open the Referrals List window and click the Add a new Record () icon or select a listed referral and click the Edit Record () icon.

A drop-down list that indicates which referral sources to include in the results:

  • From: Referrals are sent to your institution, but your institution does not refer to them.
  • To: Referrals that your institution sends to, but does not receive referrals from.
  • Both: Referrals that are sent to your institution as well as being sent by your institution.
Type

A drop-down list that indicates the type of referral:

  • Doctor: The referral is from an individual doctor.
  • Source: The referral is from a non-individual source such as newspaper, a clinic, or hospital.
Title

A drop-down list that indicates the Title Code for the referral.
Name / First / Middle

A text field that indicates the name of the referral.

Note: The First and Middle fields are only enabled if the Type field is set to Doctor.

Address / City / State / Zip / County

Text fields that indicate the address information for the referral.
Phone / Fax Text fields that indicate the phone and fax number for the referral.
Email A text field that indicates the email address for the referral.
SSN / TIN Radio buttons that indicate the license number used for the referral:
  • SSN: Identifies the referral by a Social Security Number.
  • TIN: Identifies the referral by a Tax Information Number.
Specialty A text field that indicates the referral's field of specialty.
NPI A text field that indicates the NPI number generated for the referral to print on insurance claims.

Clinical Codes

Text fields that indicate the Clinical Codes that track information about the referral.
Office Codes Text fields that indicate the Office Code that track information about the referral.
Special IDs...

A button that displays the Special Referral I.D. Numbers window.

Note: This button is only enabled if you set the Type field to Doctor and save the record.

Comment A text field that indicates any additional information about the referral.
Task Procedure
Add Referrals
  1. Complete the fields as necessary and click OK.

Edit Referrals

  1. Make any necessary changes and click OK.

Special Referral I.D. Numbers Window

(Maintenance > Patient > Referrals List > Referrals)

The Special Referral I.D. Numbers window allows you to enter special IDs to use when sending claims for the referring doctor to the specified insurance company. It displays when you open the Referrals window and click theSpecial IDs... button.

Note: This button is only enabled if you set the Type field to Doctor and save the record.

Field Description
Referral

A disabled field that indicates the selected referral doctor's name.
Insurance Code

A text field that indicates the ID code of the insurance company that uses a special ID to represent this doctor.

The ellipsis is used to display the Insurance Companies List window and select an insurance company.
I.D. Number

A text field that indicates the license number to use for this referral doctor when a claim is sent to the selected insurance company.

A drop-down list that indicates the type of license number entered.
Task Procedure
Add Referral Numbers
  1. Click the Clear Data () icon.
  2. Complete the fields as necessary and click the Add a new Record () icon.
Edit Referral Numbers
  1. Select a listed entry.
  2. Make any necessary changes and click the Modify Record () icon.
Delete Referral Numbers
  1. Select a listed entry and click the Delete Record () icon.
  2. When prompted, click Yes to confirm the deletion.
