Scheduling Rules Window

The Scheduling Rules window is used to define scheduling rules (for single-chair and multi-chairs) for maximizing efficiency, and apply them to provider types or individual providers.

Example: A one-chair day will typically have a few long appointments. This means axiUm must minimize assistant idle time (by eliminating small gaps in their schedule), while maximizing dentist time. A multi-chair day will typically have many small appointments. This means axiUm must maximize the dentist's time by applying their best-fitting time block over many chairs.

These rules work in conjunction with the Appointment Expert.

Scheduling Rules - Field Definitions

Field	Description
Prov. Type Code	A drop-down list that indicates the provider type that this rule applies to.
Provider	A text field that indicates the provider that this rule applies to. The ellipsis is used to display the Providers List window and select a provider.
Max Contiguous Provider Free Time	A feature that indicates prevents axiUm from booking appointments resulting in large amounts of provider idle time. The first text field indicates the maximum provider idle time allowed for single-chair day scheduling. The second text field indicates the maximum provider idle time allowed for multi-chair day scheduling.
Min Appointment Gap Time	A text field that indicates the time gap allowed between appointments. The gap should be set to no shorter than the shortest appointment time available
Max Provider Time	A text field that indicates the maximum appointment length when providers have more than one chair reservation on the day. Note: This applies only to multi-chair day scheduling.
Rules apply when scheduling __ days in the future	A text field that indicates the single-chair and multi-chair rules listed above can be overridden if they cause the patient's wait time to be longer than the specified number of days.
Planned Doctor with any Hygienist	Note: This section is used only for hygiene recall appointments searched for using the Appointment Expert window, and for institutions that use Preventive Care cycles. Text fields that indicate axiUm's behavior when a patient has a planned appointment with exam (doctor required), and wants a different appointment date where they keep the same hygienist but are willing to change the doctor to: A different doctor(from the same group) when the planned appointment date is a number of days earlier than specified in this field. A different doctor (from a different group) when the planned appointment date is a number of days earlier than specified in this field.
Planned Hygienist with any Doctor	Note: This section is used only for hygiene recall appointments searched for using the Appointment Expert window, and for institutions that use Preventive Care cycles. Text fields that indicate axiUm's behavior when a patient has a planned appointment with exam (doctor required), and wants a different appointment date where they keep the same doctor but are willing to change the hygienist to: A different hygienist (from the same group) when the planned appointment date is a number of days earlier than specified in this field. A different hygienist (from a different group) when the planned appointment date is a number of days earlier than specified in this field. An enhanced CDA when the appointment is a number of days earlier than specified in this field.
Doctor in same Group with any Hygienist	Note: This section is used only for hygiene recall appointments searched for using the Appointment Expert window, and for institutions that use Preventive Care cycles. Text fields that indicate axiUm's behavior when a patient has a planned appointment with exam (doctor required), and wants a different appointment date where they are tilling to change the doctor (but from same group) as well as changing the hygienist to: A different hygienist (from the same group) when the planned appointment date is a number of days earlier than specified in this field. A different hygienist (from a different group) when the planned appointment date is a number of days earlier than specified in this field. An enhanced CDA when the appointment is a number of days earlier than specified in this field.
Doctor in other Group with any Hygienist	Note: This section is used only for hygiene recall appointments searched for using the Appointment Expert window, and for institutions that use Preventive Care cycles. Text fields that indicate axiUm's behavior when a patient has a planned appointment with exam (doctor required), and wants a different appointment date where they are willing to change the doctor (different group) as well as changing the hygienist to: A different hygienist (from the same group) when the planned appointment date is a number of days earlier than specified in this field. A different hygienist (from a different group) when the planned appointment date is a number of days earlier than specified in this field. An enhanced CDA when the appointment is a number of days earlier than specified in this field.
Any Hygienist	Note: This section is used only for hygiene recall appointments searched for using the Appointment Expert window, and for institutions that use Preventive Care cycles. Text fields that indicate axiUm's behavior when a patient has a planned appointment without an exam (no doctor required, only hygienist), and wants a different appointment date where they are willing to change the hygienist to: A different hygienist (from the same group) when the planned appointment date is a number of days earlier than specified in this field. A different hygienist (from a different group) when the planned appointment date is a number of days earlier than specified in this field. An enhanced CDA when the appointment is a number of days earlier than specified in this field.

Scheduling Rules - Tasks

Task	Procedure
Add Scheduling Rules	Click the Clear Data () icon. Complete the fields as necessary and click the Add a new Record () icon.
Edit Scheduling Rules	Select a listed entry. Make any necessary changes and click the Modify Record () icon.
Delete Scheduling Rules	Select a listed entry and click the Delete Record () icon. When prompted, click Yes to confirm the deletion.
Preview/Print Report	(Optional) To preview the Scheduling Rules report, click the Preview Report () icon. To print the Scheduling Rules report, click the Print Report () icon. Note: The Scheduling Rules report uses the SchRule.rpt file.
