Level Codes Window

Competency level codes are attached to the procedure codes and determine what procedures students can perform and in what class year they can perform them. A student must pass a certain number of exams at a lower level before moving to the next competency level.

The Level Codes window allows you to manage the list of competency level codes and specify the details and requirements for each code.

Field Description
Comp Level

A text field that indicates the code that identifies the competency level.
Description A text field that describes the competency level.
Min Year A text field that indicates the minimum academic year of study for a student in order to qualify for performing a procedure of this competency level.
Task Procedure
Add Level Codes
  1. Click the Clear Data () icon.
  2. Complete the fields as necessary and click the Add a new Record () icon.
Edit Level Codes
  1. Select a listed entry.
  2. Make any necessary changes and click the Modify Record () icon.
Specify Level Options
  1. Select a listed entry and click the Level Obligation Options () icon to display the Level Obligation Options window.
  2. Make any necessary changes and close the window.
Delete Level Codes
  1. Select a listed entry and click the Delete Record () icon.
  2. When prompted, click Yes to confirm the deletion.
Preview/Print Report
  1. (Optional) To preview the Level Codes report, click the Preview Report () icon.
  2. To print the Level Codes report, click the Print Report () icon.

    3. Note: The Level Codes report uses the clevel.rpt file.

Level Obligation Options Window

(Maintenance > Clinical > Level Codes)

Each level code can include requirements that must be met prior to allowing a student to move to the next level. These requirements include evaluation forms that must be entered and approved and can also include a the requirement that a previous level must be completed first.

The Level Obligation Options window allows you to specify the options for a selected level and then to define them. It displays when you open the Level Codes window, select a listed date range and click the Level Obligation Options () icon.

Field Description
Comp Level

A disabled field that indicates the selected level code.
Option

A disabled field that displays the current option number.

This number is automatically incremented as options are added.
Description A text field that describes the obligations for this option.
Task Procedure
Add Level Options
  1. Click the Clear Data () icon.
  2. Complete the fields as necessary and click the Add a new Record () icon.
Edit Level Options
  1. Select a listed entry.
  2. Make any necessary changes and click the Modify Record () icon.
Define Option Form Requirements
  1. Select a listed entry and click the Option's Obligations () icon to display the Option's Obligations window.
  2. Enter the grading forms for the selected option as required.

Delete Level Options
  1. Select a listed entry and click the Delete Record () icon.

  2. When prompted, click Yes to confirm the deletion.

Option's Obligations Window

(Maintenance > Clinical > Level Codes > Level Obligation Options)

The Option's Obligations window allows you to define the grading form(s) that must be entered and approved, as well as how many times the form(s) must be entered. It displays when you open Level Obligation Options window, select a listed level obligation and click the Option's Obligations () icon.

Field Description
Comp Level

A disabled field that indicates the selected competency level.
Option #

A disabled field that displays the selected option number.
Option

A disabled field that displays the description of the selected option.
Form

A text field that indicates the grading form required for this option.

The ellipsis is used to display the Grading Forms window and select a form.
Min. Number

A text field that indicates the minimum number of times a student must have received a passing grade on the selected Form to achieve competency.
Task Procedure
Add Form Requirements
  1. Click the Clear Data () icon.
  2. Complete the fields as necessary and click the Add a new Record () icon.
Specify Prior Level
  1. Select a listed entry and click the Prior Level Obligations () icon to display the Prior Level Obligations window.
  2. Make any necessary changes and close the window.
Edit Form Requirements
  1. Select a listed entry.
  2. Make any necessary changes and click the Modify Record () icon.
Delete Form Requirements
  1. Select a listed entry and click the Delete Record () icon.

  2. When prompted, click Yes to confirm the deletion.

Prior Level Obligations Window

(Maintenance > Clinical > Level Codes > Level Obligation Options> Option's Obligations)

The competency level being defined can have one or more prior levels specified as a requirement so that the provider cannot perform procedures of their currently competency level until any prior level obligations are met.

The Prior Level Obligations window allows you to specify any prior levels that must be met before the current level competency can be completed. It displays when you open Option's Obligations window and click the Prior Level Obligations () icon.

Field Description
Comp Level

A disabled field that indicates the selected fee guide.
Option #

A disabled field that indicates number of the level option.
Option

A disabled field that indicates the description of the level option.

The ellipsis is used to display the Level Codes window and select a competency level.

Prior Level

A check box that, when selected, indicates that this fee amount is discretionary and varies based on the difficulty of the case.

Note: This option causes the Add Special window to display when the procedure is approved to allow users to modify the amounts.

Add Prior Levels
  1. Click the Clear Data () icon.
  2. Complete the field as necessary and click the Add a new Record () icon.
Edit Prior Levels
  1. Select a listed entry.
  2. Make any necessary changes and click the Modify Record () icon.
Delete Prior Levels
  1. Select a listed entry and click the Delete Record () icon.

  2. When prompted, click Yes to confirm the deletion.
