EDI Overview

The EDI (Electronic Data Interchange) module is comprised of one core axiUm module and several optional axiUm+ modules. Each component allows you to complete important financial tasks for your dental institution.

EDI Claims is a core axiUm module that allows you to easily monitor patient procedures and submit insurance claims electronically.

When accessed, the EDI window allows you to complete a variety of actions, including printing, submitting, or batching claims for processing later. You can also correct any errors that prevent a claim from being processed.

You can directly open the EDI Claims module using one of the following methods:

  • Nav Panel > Financials section > EDI menu-item or () icon.
  • Menu bar > Actions menu > EDI....

The EDI window is divided into several tabs.

Note: The number of tabs depends on which optional axiUm+ modules you have purchased and enabled.

  • Unsubmitted Procedures: This tab allows you to review and manage all unsubmitted procedures for any of the following:
    • A specific practice
    • A specific billing doctor or fee schedule
    • A group of billing doctors or fee schedules
    • A specific insurance company or group of insurance companies

    • Tip: You can also exclude a specific insurance company or group of insurance companies.

  • Submitted Procedures: This tab allows you to review and manage all previously submitted procedures.
    • Enter a date range for the procedures
    • To find a specific batch of claims, enter the batch number
    • To find claims submitted on a specific date, enter the batch date
  • Remittance Responses: If purchased and enabled, this tab allows you to view and manage all EDI claims that have been processed by insurance companies.
    • Search for remittance responses within a date range based on the payment or the process date
    • Locate the trace number used to reference the payment (a unique reference number sent to axiUm in the remittance file)
    • Search for a range of insurance company remittance responses
    • Print the Unsubmitted Procedures report
    • Display manually processed claims
  • Lockbox Payments: If purchased and enabled, this tab allows you to manage Lockbox payments submitted to Lockbox companies. This includes the ability to:
    • Load Lockbox files
    • Process Lockbox files manually
    • View Lockbox reports

EDI Remittance is an axiUm+ module that allows your institution to receive insurance claims electronically, and automates most of the process to alleviate common workload bottlenecks.

The EDI Remittance module is accessed through the EDI Claims module > Remittance Responses tab.

You can open the EDI Remittance module using one of the following methods:

  • Nav Panel > Financials section > EDI menu-item or () icon > Remittance Responses tab.
  • Menu bar > Actions menu > EDI... > Remittance Responses tab.

Within the Remittance Responses tab, search fields and action buttons display in the upper pane, and remittance payment search results display in the in the lower pane.

From this area, you can search for, load, and process EDI remittance files.

Field Description
Date from / Date to Enter a date range from the calendar to filter results based on date.
Based on

When searching by date, select the appropriate date to use.

  • Payment Date
  • Process Date
Trace Number

Enter the remittance record’s unique reference number to search for a file.

Note: The trace number is used to reference payment (similar to an electronic check number).

Payee ID

Enter the payee ID to filter based on Payee.
Include ins.

Click the ellipsis to select which insurance companies to include in the search.
Include Processed Records

Select the checkbox if you want to include processed records in your search.
Exclude Responses with Errors

Select the checkbox if you want to exclude records with errors from your search.
Search

Click the button to start your search.
Reset

Click the button to reset all fields to their default values.
Select all / Deselect all

Click the buttons to select or deselect the checkbox next to each record in the list.
Print Click the button to display the Print Remittances window and preview and print all the selected records.
Load...

Click the button to display the Load EDI Remittance File window.
Process... Click the button to process all the selected records.

Lockbox Payments is an axiUm+ module that allows your institution to make agreements with third-party Lockbox companies so that patients can make their payments at their convenience.

  • Customizable response format: Each payer in axiUm is set up separately to accommodate the varying types of response files received. This allows you control and flexibility when setting up payers in axiUm.
  • Banks and Payments codes: Each payer has a defined bank code, allowing for easy reporting. Additionally, the Lockbox module has a defined payment code, which helps identify Lockbox payments.
  • Overnight Process: Once the payments have been processed in axiUm, the overnight process can auto-allocate the patient payments.
  • Error reporting: Any payments that cannot be processed will generate an exception report that you can review and action as required.

    • Notes:

    • The chart number of the patient is used to match the payment to the patient. If the chart number is not valid, the payment cannot be processed and will appear on the exception report.
    • Payments added use the patient as the payer regardless of who made the actual payment.

From this area, you can load, save, process, and report on received batched payment files.
